Supplier Integrations: How to Sync Catalogue Materials

Quickly and effortlessly populate your Jobman materials catalogue with products from selected integrated suppliers. In addition to creating materials, Jobman can update your existing catalogue to keep the pricing and other details up-to-date with your suppliers.

Getting Started

Before you can sync, you will need to connect to a supported supplier.

Staff will require permission to Synchronise catalogue materials with suppliers in order to trigger new syncs. See Staff Roles and Permissions for more information.

When new materials are created during a sync, they will be assigned to a specific category for the selected supplier. You can choose which category materials are added to in Settings > Supplier Integration > {Supplier} > Update.

If you are already connected, you will need to "disconnect" in order to update your settings.

Note: By default, a new category will be created for your synced materials if you do not select one.

Once connected, you will be able to navigate to Catalogue > Materials > Sync.

Sync Options Explained

  • Sync previous orders

    Enabling this will allow Jobman to find materials (products) that you have previously ordered from the selected supplier to sync into your Jobman catalogue.

  • Sync existing Catalogue Materials

    When this is enabled, Jobman will "refresh" all existing catalogue materials with up-to-date information from the selected supplier.

  • Update Pricing

    Allow Jobman to automatically update your existing catalogue material pricing with current prices from the supplier. (If you only want to sync new materials and not edit existing materials, you should disable this option.)

  • Update Details

    Allow Jobman to automatically update your existing catalogue material non-pricing details (name, description, size, images, etc.) with current details from the supplier. (If you only want to sync your pricing information and not edit existing material details, you should disable this option.)

  • Do not create new entries

    Enabling this will prevent new materials from being added to your catalogue, restricting the sync to updating existing materials.

  • Do not recreate trashed materials

    By default, Jobman will create new materials if it cannot find an active material to update. Enabling this option will prevent new materials being added to your catalogue if a matching material has previously been deleted in your catalogue.

Sync Materials from Previous Orders

Syncing previous orders allows you to automatically populate your materials catalogue with products that you have ordered from the selected supplier during a specified period.

This can be useful for quickly and easily populating your catalogue with relevant materials without having to manually create them, or import complicated CSVs.

To sync previous orders, follow these steps:

  1. Navigate to Catalogue > Materials > Sync > Create.

  1. Select a supplier to sync previous orders from.
  2. Tick the box for Sync previous orders and select a period to include orders from.
  3. Tick any other applicable options (see Sync Options above).
  4. Click Create again.

Update/Refresh Your Existing Materials

Syncing existing catalogue items allows Jobman to "refresh" the materials you have previously added/imported/synced into your catalogue, adding up-to-date information from the selected supplier.

This is particularly useful for keeping your catalogue pricing accurate for quoting and reporting.

To update existing materials, follow these steps:

  1. Navigate to Catalogue > Materials > Sync > Create.
  2. Select your supplier and tick the box for Sync existing Catalogue Materials.

  1. Tick any other applicable options (see Sync Options above).
  2. Click Create again.

Material Sync History

You can view your material sync history in Catalogue > Materials > Sync.

You can view the date of the sync, which supplier was synced, the status (e.g. Started, Completed, Cancelled, etc.) as well as the settings that were applied to the sync.

Currently, you can only view previous syncs that you created - not those created by other staff members.

After Syncing: Important Information

Once your sync has completed, any new materials will be found in the category you selected in your Supplier Integration settings, or in a newly created category (eg. "Hafele Sync").

After your sync is completed, you can mass-update the categories for your materials from your catalogue. Read More

Additionally, you can enable the Image column in Catalogue > Materials to view the images that were synced into your catalogue.
