Catalogue Item Statuses & Substitutes

Set the status of your catalogue materials/products to easily define if a product is or isn't available to order. The options you can choose are:

  • available - Available to order
  • not_available - Not available to order

You can also add substitutes to your products for when an item is unavailable to order. It is recommended to spend the time and allocate substitutes to your products to assist staff members to choose an appropriate alternative.


Updating an Item Status

You can either set the item status when you create or import catalogue items. If you need to update the status after you've set this up follow the below steps:

  1. Click on the 'Catalogue' tab from your user menu panel.
  2. Open the product you want to update from either using the search or filter options.
  3. Click the 'Update' button where you'll be redirected to the edit page.
  4. Scroll down to the Status section.
  5. Choose your new status from the dropdown.
  6. Finalise by clicking 'Save Changes'.

Adding Product Substitutes

Now you've set up your products, link item substitutes to allow staff to easily find relevant alternatives for products that may be unavailable. You may also have the same item from different suppliers at different prices. This will allow you to quote accurately based on the product you need to purchase.

  1. Click on the 'Catalogue' tab from your user menu panel.
  2. Open the product you want to update from either using the search or filter options.
  3. Click on the 'Add Substitute' button as shown below.
  4. Choose the substitute material from the dropdown - type to search.
  5. Finalise by clicking 'Add Substitute'.

Do you order the same material from multiple suppliers?

Set up your material in your catalogue and add all of the substitutes from different suppliers to your material as shown above. When you order these from your suppliers, this will come into your inventory under the SKU code that you have set the material up with.


Not Available to Order Examples

  • If you have a product set up with the Quote Pricing brand, you will need to have the status set to Not Available as these are generic range options that are used for quoting purposes only.
  • You may have been notified that a product is unavailable for a certain amount of time.
  • The product has been discontinued.

The below notification will show inside products that have been set to 'Not Available to Order'.
