Triggers

Triggers can be created against tasks for staff and contacts to receive either an email or an internal notification within their Jobman. Set up your triggers as shown in the steps below, once this has been done you can now add your triggers to your tasks within your workflows!


Creating Triggers

Access the Settings tab from the user menu panel and click into 'Workflows'. Click the 'Triggers' button and follow the steps below.

Creating an Email Trigger

  1. Click the 'Create' button which will take you to add your new trigger.
  2. Enter the name of your trigger.
  3. Choose 'Email' from the dropdown under 'Type'.
  4. Choose the relevant option from the Item dropdown.
  5. Choose the email template you want to apply to this trigger.
  6. Select the event type from the dropdown of when you want this trigger to occur.
  7. Depending on the event type chosen, a new option will appear to add days before/after the event.
  8. Set the parameters for who is to receive this notification.
  9. Finalise by clicking 'Create'.

Creating a Notification Trigger

  1. Click the 'Create' button which will take you to add your new trigger.
  2. Enter the name of your trigger.
  3. Choose 'Notification' from the dropdown under 'Type'.
  4. Choose the relevant option from the Item dropdown.
  5. Enter the subject that the notification will appear with.
  6. Enter the text you want to be included with your notification.
  7. Select the event type from the dropdown of when you want this trigger to occur.
  8. Depending on the event type chosen, a new option will appear to add days before/after the event.
  9. Set the parameters for who is to receive this notification.
  10. Finalise by clicking 'Create'.

Please Note: when setting up Triggers to 'Staff Member Types', the staff must be added to the job (shown below) as this member type in order to receive the notification.

Example: you have multiple Project Managers within your company, so you assign the appropriate manager to each job ensuring they only receive notifications for their own jobs.


Assigning Triggers

Now you've created your triggers, you can assign these to the relevant tasks within your workflows.

Using the same steps above, access your Settings from the user menu panel and click into Workflows.


  1. Click into the Workflow that contains the task you want to assign a trigger to.
  2. Click into the relevant task & click 'Update'.
  3. Scroll down to the 'Triggers' field as shown below.
  4. Choose the relevant trigger from the dropdown.
  5. Finalise by clicking 'Save Changes'.
Step 3: scroll down to the 'Triggers' field & choose the relevant trigger from the dropdown.


Information: switch off your triggers in your settings at any time by clicking update and unchecking the 'Enabled' checkbox. This will automatically disable this trigger against all jobs or leads until you amend and enable it again.


Hyperlink Template Variables in your Triggers

If you want to add a hyperlink to a template variable in your trigger so when a notification is received, you can click a link to be taken directly to the job or lead.

Please note: you can only use the template variables containing the 'ID'.

For example: {{ job.id }} / {{ lead.id }}


In your Trigger Template you will see a list of variables that can be inserted. To hyperlink these:

  1. Copy the template variable from the list provided.
  2. Paste where required in your template.
  3. Highlight the variable and a small pop up box should appear.
  4. Click the chain link (shown below) .
  5. In a new tab, open your Jobman software and click into the relevant tab from the user menu panel.

For example: if you are wanting to link to a job using one of the template variables containing 'job'. Click into the 'Jobs' tab from your user menu panel and copy the URL/address. This will look something like:

https://jobmanapp.com/#organisations/3bc2be-2079-49d0-rf72-2a681b94b326/jobs/

  1. Once you've copied the URL, go back to your template and paste this into the URL section.
  2. Add your template variable (in bold below) to the end of this and save.

Your URL should now look something like this:

https://jobmanapp.com/#organisations/3bc2be-2079-49d0-rf72-2a681b94b326/jobs/{{ job.id }}
