Create invoice types (e.g. "Full Invoice", "Deposit Invoice", "Bill") to differentiate your invoices according to the needs of your business.

Create invoice statuses to track the progress of your invoices from "Draft" through to "Paid".

Common Invoice Types

  • Deposit Invoice – This will add a certain percentage of an accepted quote to an invoice. It comes through as a line item.
  • Partial Invoice – Functions the same as a Deposit Invoice.
  • Full Invoice – This will contain all line items from an accepted quote, and also will allow you to add adjustments to already paid invoices.

Creating a New Invoice Type

Note: You should only create a new invoice type if you have an existing type in your accounting software that does not currently appear in Jobman.

To create a new invoice type, follow these steps:

  1. From the User Menu Panel, navigate to Settings > Accounting > Invoice Types.
  2. Click Create.
  3. Enter the name of your invoice type.
  4. Enter the code - this MUST match exactly with your accounting software.
  5. Under classification, choose either Payable or Receivable.
  6. Choose the appropriate account from the drop-down.
  7. Click Create again.

You can click into an existing invoice type at any time to Update or Delete it, but be very careful when doing so, as this can create problems between your Jobman and your accounting software.


Creating a New Invoice Status

Note: You should only create a new invoice status if you have an existing status in your accounting software that does not currently appear in Jobman.

To create a new invoice status, follow these steps:

  1. From the User Menu Panel, navigate to Settings > Accounting > Invoice Statuses.
  2. Click Create.
  3. Enter the name of your invoice status.
  4. Enter the code - this MUST match exactly with your accounting software.
  5. Tick the checkboxes that apply to the status.

    For example: "Draft" status should have Can be updated and Can be submitted ticked.

  6. Click Create again.
  • We recommend setting "Draft" as your default invoice status, so that all invoices will be set to this status when you create them.
  • You can click into an existing invoice status at any time to Update or Delete it, but be very careful when doing so, as this can create problems between your Jobman and your accounting software.
